In this article, you’ve learned how to enable the waitlist for a schedule and the configuration options available to you. Now, we’ll dive into the Full Control configuration in detail to help you make an informed choice.

The Full Control waitlist is ideal for providers who want to prioritize their waitlist over the general public when spots open up and would like to have complete control over who from the waitlist can register.

How it works

When the Full Control waitlist is enabled, customers who find the schedule full or miss the registration deadline can still join the waitlist until the event starts.

A spot may become available for any of the following reasons:

  • A customer on the roster cancels their registration.
  • You remove a participant from the roster.
  • You increase the schedule’s capacity.
  • You extend the registration period.

When this occurs and the waitlist has more participants than the number of available spots, registration is automatically closed for everyone and you need to intervene. This ensures that available spots are reserved for those on the waitlist, preventing non-waitlisted individuals from registering simply because they were online at the opportune moment.

You manually decide which participants from the waitlist can register by taking one of the following actions:

  • Invite participant to register.
  • Place an order on behalf of the customer – We recommend using this feature only to assist customers who may have difficulty with technology, if they have explicitly consented to being registered by you as soon as a spot becomes available, or if you need to make exceptions by overriding the schedule capacity or registering a participant after the registration period has ended, even if the event has already started.

⚠️ Setting your waitlist to Full Control gives you precise management over who can join your classes, but it also comes with the responsibility to actively manage it. If you don’t regularly allow waitlisted individuals to register, spots could remain unfilled.

In all registration scenarios—whether the customer registers on their own or you place an order for them—they are automatically removed from the waitlist and added to the schedule’s roster with a special tag: “Converted from Waitlist.”

Pros of the Full control waitlist

You have the flexibility to decide who on the waitlist gets to register based on criteria you determine to be fair. You can prioritize customers in the order they joined the waitlist, you may choose to give priority to new customers or, you could prioritize your most loyal participants. The choice is entirely yours!
