How to transfer a participant to a new activity

Transferring participants between activities is now easier than ever with our credit feature! Using this process, you can save on transaction fees by avoiding refunds. Follow these simple steps:

STEP 1: Locate the Order

  1. Go to the “Orders” tab.
  2. Search for the customer's order using their name, phone number, or email address.
  3. Once you find the order, click on the order number to view the details.

STEP 2: Credit the customer

  1. Scroll to the Credit section in the order details and click +Add credit”
  2. Enter the credit amount. You can credit the cost of the new registration fee or credit the full amount of the original order. That depends on your policies and whether the new activity is cheaper, same-priced or more expensive. The choice is up to you!

💡 Pro Tips:

  • If the new activity is cheaper, you can refund any leftover balance.
  • Alternatively, leave the balance as credit for the customer to use on future registrations for any of your activities.

STEP 3 Remove the participant from the old activity.

Scroll to the registration section and click "Remove learner".

STEP 4: Register the participant to the new activity

  1. Return to the “Orders” tab and click + Add new order”
  2. Register the participant for the new activity.
  3. The credit will automatically apply to the total, and the family will receive a confirmation email.

The process is transparent to the customer every step of the way. They will receive email notifications when you add credit, remove them from the roster, and confirm their registration once you place an order on their behalf.
