Standard waitlist

In this article, you’ve learned how to enable the waitlist for a schedule and the configuration options available to you. Now, we’ll dive into the Standard configuration in detail to help you make an informed choice.
The Standard waitlist is ideal for providers who want to gauge demand for their activities and quickly fill available spots without manual effort.

How it works
When the Standard waitlist is enabled, customers who find the schedule full or miss the registration deadline can still join the waitlist until the event starts.

A spot may become available for any of the following reasons:
- A customer on the roster cancels their registration.
- You remove a participant from the roster.
- You increase the schedule’s capacity.
- You extend the registration period.
In these cases, anyone will be able to register since spots are NOT reserved for customers on the waitlist. However, customers on the waitlist receive an advantage: as soon as a spot becomes available, they are automatically notified via email.
Here’s an example of the email your customers will receive:

You can confirm that notifications are sent by checking the Status column in the waitlist tab.

When a customer clicks “Sign up now,” they are directed to the activity’s public page. If a spot is still available, they can register. Spot availability is determined on a first-come, first-served basis.
You might wonder: Won’t customers be disappointed that anyone can take an available spot? We set clear expectations with your customers: when the Standard waitlist is enabled, customers are informed upon joining that they can expect to be notified when spots are available, but spots are not guaranteed or reserved.
What If no spots become available or you want to make an exception?
If no spots open up but you still want to register someone from the waitlist or you need to assist a customer who struggles with technology, you can place an order on their behalf.

This process overrides the capacity and registration period.
In all registration scenarios—whether the customer registers on their own or you place an order for them—they are automatically removed from the waitlist and added to the schedule’s roster with a special tag: “Converted from Waitlist.”
Pros of the Standard waitlist
Customers who expressed interest in a schedule but missed a spot are notified when a spot becomes available. This increases the likelihood of filling available spots without any manual effort on your part.
